AGM Minutes: Friday 16th October 2009

A quorum was present and Mrs Gilbert opened the meeting and welcomed everybody.

3. Minutes
The minutes from the previous meeting were signed off without amendment.
4. Treasurers Report and Receive Accounts
This was presented by Nicki Clarke the Treasurer.
It had been another good year for the PTA. Our opening account balance was £9,089.05 and we closed the year with £12,623.51.
As you can see form the event income and expenditure sheets we have had another busy year and raised £5,632.48.
For the last three years our main fundraising project has been the renovation of the Pavilion and this year we have reached our target of £15,000 which is part of the balance of £17,223 in the Business Premium Account.
On top of raising funds for the Pavilion we have purchased a pond dipping platform, playground equipment for the Reception Classes as well as providing refreshments for Sports Day and the Pantomime Trip, Easter Eggs and Recollection Books for Year 6.
The RPS PTA Pavilion 100 Club Bank Account had an opening balance of £2,241.03 and we closed the year with £476.49 of which £2,000 was transferred to the Premium Business Account.
5. Chairs Report
This was presented by Mrs Gilbert.
Mrs Gilbert reported that the PTA had had another active year which had ended with the very successful Summer Fete. Mrs Gilbert extended her thanks to everyone involved and especially Mrs Ewing for all her input.
Mrs Gilbert also thanked the teachers for the input to the Christmas Bazaar as each class had run their own stalls. It was also reported that the Staff we happy to do a similar idea this year.
Mrs Gilbert extended her thanks to Nicki Clarke for arranging the Discos, Julie Sutton for the Tandoori Parlour Night and the Tea Towel Project and also Michelle Daniells for running the school uniform shop and the Tea towel Project. And thanks were also extended to Julie Hunt for arranging all the refreshments for the pantomime and sports day.
Mrs Gilbert then thanked the Committee for all their efforts over the last year.

It was unclear whether the Constitution allowed for a JOINT CHAIR position. It was agreed that this would be checked prior to the next meeting.
7. Appoint Independent Examiner
Thanks were given to Mr Waller who had verified the accounts for this year and he had offered to remain in office for the next year.
It was agreed that Mr Waller be re-appointed.
8. Future Dates & Events
A Quiz night was being arranged for SATURDAY 14th NOVEMBER.
It was agreed that the Discos would be run again and that the Christmas Bazaar would take place on Friday December 4th.
The Summer Fete had been booked for Sunday 27th June 2010.
9. Any Other Business
Mrs Cousins formally thanked the Committee for all their efforts again this year on behalf of the school staff and thanked the PTA personally for the pond dipping platform that had been donated. She also suggested that a plaque be placed on the platform stating it had been donated by the PTA. This was agreed and the Committee will arrange for this to be done.
10. Next Meeting Date
The next committee meeting would be on Friday 6th November at 2:15pm in the KS1 Meeting Room (note the slightly earlier start time). All were welcome.
There being no other business, Mrs Gilbert thanked everyone for coming and the meeting was closed.
